Grain Studios | TERMS & CONDITIONS
By booking a session at Grain Studios, you (the "Client") agree to the following terms and conditions:
1. Booking & Payment
Full Payment: All bookings must be paid in full at the time of reservation to secure the slot.
Cancellations:
Cancellations must be made in writing via email to cancellations@grainstudios.co.uk.
o Cancellations made less than 24 hours before the session are non-refundable.
o Cancellations made more than 24 hours in advance will receive a full refund.
Grain Studios reserves the right to decline any booking at its discretion.
2. Access & Self-Service
Access: Grain Studios is a self-service facility. You will receive entry instructions/access codes prior to your session. These codes must not be shared with third parties.
Punctuality: Your booking includes your setup and pack-down time. Please do not enter the studio before your start time and ensure the space is vacated promptly at the end of your slot.
Overtime: If you stay past your allotted time, you will be charged at a rate of 50% the hourly fee billed in 30-minute increments.
3. Studio Equipment & Client Gear
Provided Lighting: We provide two Godox professional studio lights for your use. These are included in your booking.
Independent Setup: Beyond the provided lighting, Grain Studios is a "space-only" hire. Clients are responsible for bringing their own cameras, microphones, and any other specialised gear.
External Equipment: You are welcome to bring or hire additional equipment. Grain Studios accepts no liability for the performance or safety of any external gear brought into the space.
Liability for Gear: All personal or hired equipment is brought into the studio at your own risk. Grain Studios is not responsible for any damage, loss, or theft of your belongings.
3. Studio Environment
Noise & Soundproofing: The studio is not 100% soundproof. While suitable for most content creation, we recommend dynamic microphones for audio recording. Grain Studios is not liable for external noise interference. Please ensure you are comfortable with this environment before booking.
Privacy: A pop-up changing tent is provided for outfit swaps. Please use this for privacy as the studio is an open-plan room.
Strictly Prohibited: No smoking, vaping, or illegal substances are permitted on the premises. No "messy" shoots (e.g., glitter, oils, paint, or water) without prior written consent.
4. Security & CCTV
Monitoring: For the safety of the space and our clients, 24/7 video-only CCTV is in operation. By entering the studio, you consent to being filmed for security purposes.
No Audio: In compliance with privacy laws, no audio is recorded by our security system.
CCTV footage is automatically overwritten every 30 days, unless a specific incident requires the footage to be held for investigation.
5. Damages & CCTV Review
Care of Equipment: Please handle all provided equipment & furniture in the studio with care.
Review Process: The studio and lighting equipment are inspected between every booking. If any damage is found to the lights, fixtures, furniture, or walls, we will conduct a full review of the 24/7 CCTV footage.
Financial Responsibility: If the CCTV footage identifies the Client or their guests as the cause of damage, the Client will be billed for the full cost of professional repair or replacement. Payment must be settled within 7 days.
6. Liability & Insurance
Personal Injury: Grain Studios is a self-service facility. By booking the space, the Client acknowledges that they use the premises at their own risk. Grain Studios is not liable for any personal injury, accidents, or health issues sustained by the Client or their guests while on the premises.
Loss of Property: We are not responsible for any lost, stolen, or damaged personal belongings or equipment. This includes items left unattended during a session or left behind after a booking has ended.
Studio Insurance: Grain Studios maintains Public Liability Insurance for the premises and provided fixtures.
Client Insurance: Our insurance does not cover your specific production activities or your equipment. We strongly recommend that all Clients hold their own Equipment Insurance and, where applicable, their own Public Liability Insurance for their specific business operations.
7. Cleanliness
The studio must be left in the same condition it was found. Please dispose of all rubbish in the bins provided and return any moved furniture to its original position. A cleaning fee of £40 may be charged if the studio is left in an unacceptable state.
8. Privacy & Data Protection
Client information is collected and used solely for booking, project management, and communication purposes.
Grain Studios will not share personal information with third parties without client consent, except where required by law.
9. Governing Law
These Terms & Conditions are governed by the laws of England and Wales, and any disputes will be resolved in the exclusive jurisdiction of the courts of England and Wales.
